About the Role
We are seeking a hands-on, organized, and proactive Service Coordinator to join our team in Canada, Coquitlam. In this key role, you will ensure smooth service operations, coordinate with technicians, and manage administrative and logistical tasks to support our customers. Your work will directly contribute to customer satisfaction and the efficiency of our service delivery.
Key Responsibilities
Plan, organize, and monitor service attendances, support cases, guarantee matters, and Annual Performance Tests (APT) as requested by customers and Consilium offices.
Ensure efficient processing of customer orders and scheduling to guarantee timely service delivery.
Manage the flow of spare parts and supplies – receiving, storage, and distribution – to ensure all teams have what they need when they need it.
Respond to customer inquiries within 24 hours and provide accurate quotations for service attendances.
Maintain complete documentation for all service cases in Consilium CRM and local servers.
Generate customer invoices within 7 days of service completion.
Coordinate purchase orders, verify order confirmations, and track back-orders and returns.
Support sales teams and collaborate with suppliers, freight partners, and warehouse staff.
Perform administrative, general warehouse duties, and periodic physical inventory counts.
Assist with training of co-workers and, when needed, external customers.
Follow all routines and processes within Consilium’s Quality Management System, including environmental, health, and safety standards.
What We’re Looking For
Strong organizational skills and attention to detail.
Excellent communication skills to interact with customers, suppliers, and internal teams.
Hands-on approach to problem-solving and process improvement.
Proactive mindset with the ability to manage multiple priorities in a fast-paced environment.
Experience with ERP/CRM systems is an advantage.
Previous experience in service coordination, logistics, or customer support is highly valued.
