We are now looking for a Project coordinator to join our team in Coquitlam.
About the Role
As a Project Coordinator, you will play a key role in ensuring smooth and efficient coordination of service operations, customer support, spare parts logistics, and administrative processes. You will work closely with customers, service engineers, suppliers, and internal teams to ensure timely delivery and high customer satisfaction.
This role is ideal for someone who is highly organized, customer-focused, and thrives in a dynamic operational environment.
Key Responsibilities
Service Coordination & Customer Support
Plan, organize, and monitor service attendances, support cases, guarantee matters, and Annual Performance Tests (APTs) requested by customers and other Consilium offices.
Evaluate and respond to customer inquiries within 24 hours.
Schedule service engineer attendances in accordance with the Consilium After Sales Handbook and customer requirements.
Prepare accurate quotations for service attendances.
Ensure all required spare parts are allocated, packed, and delivered for service activities.
Review service documentation and prepare final customer invoices within seven days of service completion.
Order Processing & Administration
Process incoming customer purchase orders and verify part numbers, pricing, shipping requirements, lead times, and tracking details.
Enter orders into the ERP system accurately and efficiently.
Prepare purchase orders for suppliers and verify order confirmations.
Track and follow up on back-orders.
Process change and return orders as required.
Create customer invoices for orders and services.
Maintain accurate documentation and communication records in the CRM system and local server.
Warehouse & Inventory Support
Organize and monitor incoming items from suppliers through receiving, storage, and distribution processes.
Support smooth warehouse operations and spare parts distribution.
Conduct physical inventory counts as required.
Assist with general warehouse and administrative duties.
Compliance & Collaboration
Follow routines and processes within the Consilium Quality Management System, including quality, environmental, and health & safety procedures.
Provide sales and operational support through communication with customers, suppliers, freight partners, and warehouse teams.
Assist in training co-workers and external customers when needed.
Qualifications & Experience
Previous experience in service coordination, customer service, logistics, order processing, or a similar operational role.
Strong organizational and multitasking skills with attention to detail.
Excellent communication and customer service abilities.
Experience working with ERP and CRM systems is an asset.
Ability to work independently while collaborating effectively with a global team.
Proficiency in Microsoft Office applications.
Experience in warehouse or spare parts coordination is considered an advantage.
